Q: I need 1-5 Leap Task Chairs. Do I submit a MAC?

A: No. Follow these steps:

  • Email One WorkPlace (OWP) at [email protected] for the Leap by Steelcase chair with the following information:
    • Subject Heading: “Request for Standard Leap Chair for {List Delivery Address}”
    • Quantity
    • Fabric Upholstery OR Wipeable Upholstery (Standard color is Black)
    • Casters for Carpeted Floors OR Hard flooring
    • Delivery during Regular Hrs vs Weekday OT hrs
    • Site Address including Department, FLR# and Room Number
    • Onsite Contact, including email and cellphone number
    • Cost Center #
    • Requesting Location #
    • Including disposal/recycle of existing chair, if applicable
  • OWP will provide a quote to you.
  • Once you and your manager approve, place a Non-Catalog request in Lawson for the Leap by Steelcase chair with the OWP quote and attach it to the request in OneSource/Lawson.
  • The Buyer will process the order with OWP and send you an ETA based on confirmation from OWP.
Q: I need a height adjustable desk or would like ergonomics help. Do I submit a MAC/Med Equip Request?

A: Not yet. First, you must have an ergonomic evoluation. Go back to the Facilities Web Portal and click on the "Sutter Ergonomics" to request assistance.

Q: What is the average completion time for a MAC or Medical Equipment request?

A: Up to 6 to 10 weeks. Requests are handled as they come in. Requests that are staff/patient safety related receive the highest priority. Thank you for your patience.

Q: Why can I not submit the MAC or Med Equipment request via email, phone call or in person directly?

A: TMS will track all MAC/Med Equip requests. This provides us the ability to respond to and address ongoing problems, evaluate trends, and maintain a history of activity. Verbal requests are not entered into the system, which renders them nonexistent in terms of record keeping and accountability. We believe the documented request system improves our effectiveness and efficiency.

Q: How do I follow up on a MAC/Med Equip request?

Q: Why do I have to enter in my director’s name and information?

A: You must receive approval from your director in order to submit the request. Many of the requests require funding from your department’s cost center or requesting funding from capital. We need to ensure that your director is aware of these potential costs.

Q: My request involves more than one of the following disciplines: furniture, IT and Telecommunications. Do I submit a MAC/Med Equip Request?

A: Yes, submit your request as one request. Do NOT submit multiple requests. Also, submit a MAC/Med Equip Request if your request involves:

  • Design & Construction Management
  • Systems Furniture (cubicles, task & guest chairs, offices, exam and waiting rooms)
  • Medical Equipment (BP cuffs, exam tables, imaging, refrigerators, stadiometers, etc.)
  • Signage (directory, directional, regulatory, room identification, cube, office, etc.)
  • Accessories (card holders, sharps containers, hands free dispensers, etc.)
Q: It’s too hot in my area. Do I submit a MAC/Med Equip Request?

A: No. Contact Facilities Engineering Deptartment for the following issues related to building maintenance like heating/cooling, power, water or sewer:

  • Security
  • Parking
  • Housekeeping
  • Common service calls also include:
    • Office temperature
    • Lights are burned out
    • Refrigerator (all problems)
    • Trash needs to be emptied
    • Plumbing not working
    • Toiletry supplies have run out or are not dispensing from automatic dispensers
Q: I need to replace my fax machine. Do I submit a MAC/Med Equip Request?

A: No. Contact Sutter Health IT Service Desk for the following issues related to hardware and software:

  • Computers/Laptops
  • Fax Machine
  • Copiers
  • Telephone
  • Software problems
